Online forms for exams and recruitment - SSC, UPSC, IBPS, SBI, RRB, NEET, JEE, CUET, state PSCs, police and teacher recruitment, university admissions - nearly always set a strict size for the photo and signature. If the file is even 1 KB too big the portal refuses it. Here is the quick way to get it right.

Sizes forms commonly ask for

These are the ranges seen most often in recent notifications. They are a guide only: every exam body sets its own rules and changes them between years, so always read the official notification for your form.

  • Photograph: usually 20-50 KB (some forms allow up to 100 or 300 KB), JPG.
  • Signature: usually 10-20 KB (some allow up to 30 or 50 KB), JPG.
  • Left thumb impression / handwritten declaration (bank exams): often 20-50 KB and 50-100 KB.
  • Certificates and other documents: often 100-500 KB, PDF or JPG.

Step 1: Take a clear picture

Use daylight and a plain light background. For the signature, sign in black or blue ink on white paper and photograph it straight from above. Crop away empty space - fewer pixels give a sharper small file. If the form also asks for pixel dimensions or a passport-style layout, use the Image Resizer or the Passport Photo Maker first.

Step 2: Reduce to the exact size

  1. Open the File Size Reducer and add the photo and the signature (you can add both at once).
  2. Choose Exact size, type the limit - for example 50 KB - or tap a quick size.
  3. Press Reduce. Each file is saved as a JPG just under that size, at the best quality that fits.
  4. Press Preview to compare before and after - check that your face and every signature stroke are clear - then download.

Different limits for the photo and the signature? Reduce the photo first, then the signature with its own size.

Step 3: Avoid the common rejections

  • Aim slightly below the limit - for example 48 KB for a 50 KB limit, as some portals count a kilobyte as 1000 bytes.
  • Do not go too small. Below about 10 KB details start to blur, and below 5 KB a photo or signature may become unreadable and be rejected at verification. The tool warns you when the size is that low.
  • Do not rename .png to .jpg - convert it with the Image Converter (the reducer already gives you a JPG).
  • Need a PDF? Turn the reduced scan into a PDF with Image to PDF, or shrink an existing PDF to a size with the reducer.

Photo, signature or document - which settings?

Photo: a clear, front-facing picture with even light. Crop it to head and shoulders, then reduce to the limit; a 3-4 MB phone photo usually reaches 20-50 KB and still looks sharp. Signature: crop tightly around the ink so there is little empty paper - the strokes then stay thick and dark even at 10 KB. Thumb impression and declaration: photograph them on white paper in good light, exactly like the signature. Certificates and mark sheets: keep them as PDF if the form wants PDF and type the limit, for example 200 KB; scanned pages need more space than a photo to stay readable.

Applying to several exams in one season? Keep the original photos safe and always reduce from the original, never from an already reduced copy - every extra pass removes more detail.
